Job Description

  • Serve as assistant support for development, implementation, and management of policies, procedures, and correspondence for Information and Record’s Management program activities.
  • Support the responsibility areas of Information and Records Management as well as Contracts, Planning and Budget Execution, Badging, Configuration Management, Travel, Training and Human Resources.
  • Prepare, maintain, modify, and file multitude of written communication documents including letters, memorandums, policies, plans, and procedures.
  • Plan and support committees, symposia, conferences, or workshops in accordance with DOE and federal regulations.
  • Prepare charts, graphs, and narrative information for management or program analysis reports from material provided by higher level employees.
  • Ensure the quality of information in the electronic Document Online Correspondence and Collaboration System (eDOCS).

Other duties may also include:

  • Prepare, maintain, modify, and file multitude of written communication documents including letters, memorandums, policies, plans, and procedures.
  • Keep the Managers and Directors informed of all controversial issues and significant problems,
  • Coordinate issues concerning high priority matters on short notice under constantly changing conditions, identify, research, and resolve conflicting information.
  • Communicate the Managers’ and Directors’ objectives and priorities to all EM-LA staff members.
  • Provide expertise on issues and possesses a comprehensive knowledge of departmental programs, procedures, and correspondence.
  • Coordinate and track activities outlined by the Managers and Directors or immediate staff.
  • Develop new methods and processes for efficiently managing the daily flow of office work.
  • Serve as the office focal point on CONCUR, ATAAPS, CHRIS, and other systems.
  • Maintain staffing matrix and assist with graphical representation of resource allocation.
  • Evaluate data from a variety of sources to make recommendations and suggestions to Managers and Directors.
  • Design, develop, and maintain agendas, schedules, action item trackers, calendars, activity reports, and work activities.
  • Share information through presentations or written reports detailing where improvements can be made.
  • Participate and support external and internal audits, reviews, and assessments.
  • Support activities related to all commitments and automated office system support needs of the organization.
  • Advice staff within the EM-LA Work Groups when process issues are unclear or require clarification of program and policy issues.
  • Perform special studies and/or projects, initiated independently or at the request of the Managers and Directors, regarding any phase of the EM-LA program.
  • Prepare reports and position papers with recommendations       concerning urgent and highly sensitive matters of particular concern and interest to the Managers and Directors.

 

Job Requirements

  • Bachelor’s degree in related field and 4 years’ experience in related field or 6 years’ experience in related field
  • Specialized experience in Federal programs
  • Specialized experience in Federal budget, HR management, and/or administrative processes

 

Preferred Skills

  • Knowledge of Microsoft Suite calendar creation, meeting activities, including meeting set up and minute disposition and distribution, agenda creation, conference room set-ups, AV and conference call equipment, shared information systems, records management, on-boarding and off-boarding personnel; badging, security clearance process, CONCUR travel system, eDOCS, and procurement processes
  • Experience in Federal grant management
  • Knowledge of configuration management processes for document version control and shared information systems folder control, including permissions, folder structure, and development.
  • Skill in action item tracking, status and closure, organization chart updates, distribution list updates, provide reminders and updates.
  • Skill in adapting analytical techniques and evaluation criteria to measure/improve program effectiveness and organizational productivity
  • Skill in planning, scheduling, and conducting projects and studies to evaluate and recommend ways to improve work operations in a program or support setting
  • Ability to adjust to changing priorities and work well under pressure with adaptive and flexible work style
  • Ability to organize and lead meetings
  • Ability to prepare a variety of written correspondence for signature by senior management and/or distribution at the management and senior management level
  • Ability to communicate orally and in writing for presenting findings, conducting studies, and presentations.

Federal Government Clearance:

This position may require the ability to obtain a government clearance. This position may require reviews and test for absence of any illegal drugs along with a background investigation by the Federal government in order to obtain an access authorization prior to employment, and may require subsequent reinvestigations may be required.
