Job Description

Works on routine/basic administrative duties with limited supervision. 

Performs administrative business support including answering phones, scheduling appointments and meetings, operating reproduction machines; filling correspondence and miscellaneous documentation: distributing mail: inventorying and managing government property; inventorying and managing project records; creating files; timekeeping; data entry; and other administrative functions as assigned.

Prepare, maintain, modify, and file multitude of written communication documents including letters; memorandums, policies, plans and procedures.

Other duties may be assigned.

Provides administrative support to Pro2Serve and/or clients including the following:

  • Ability to communicate effectively, both orally and in writing
  • Database management skills, including ability to train on databases
  • Ability to gather data, compile records and information
  • Ability to maintain a records management system and input information
  • Ability to maintain confidential records and information
  • Coordinate and perform a range of staff and/or operational support activities
  • Experience and knowledge of supplies, equipment, and / or services ordering and inventory control
  • Ability to perform simple accounting procedures
  • Composing and typing routine correspondence
  • Copying correspondence or other printed matter
  • Filing correspondence and other records
  • Transcribing dictation from voice recording
  • Answering telephone and providing information to callers or routing call to appropriate team member
  • Placing outgoing calls
  • Preparing, proofreading and formatting complex reports, presentations, and contract/task order documents using standard software.
  • Maintains conference room schedules.
  • Acts as receptionist or backs up receptionist when needed.
  • Demonstrates ability to get along with coworkers, customers and visitors.
  • Performs other duties as assigned by supervisor.

Job Requirements

Associate's degree in related field, or 3 years or more of business office experience

3 years of technical writing experience

6 to 9 years commensurate experience in related duties and responsibilities

Must have excellent customer service skills (i.e.,patient, reliable, professional demeanor)

Must be able to prepare correspondence (i.e. make sense of scribble and create professional letter).

Strong organizational skills

Strong document production skills (Word, Excel, Powerpoint)

Must be familiar with general computer use, e-mail, electronic calendars, Microsoft Office Suite, spreadsheet applications, etc.

Able to define problems, collect data, establish facts and draw valid conclusions.  Able to interpret a variety of instructions deal with abstract and concrete variables.

Able to operate office copier, fax and computer are required.
