Job Description

Act as the interface between LLNL NISS, the NSG sponsors from DOE and DOS, and the NSG Point of Contact (POC). This requires responding to requests or questions in a timely manner.

Responsible for updating the data on the NISS website and assisting the delegates with access to the NISS system via email or phone on a daily basis.

Post information/documents to the NISS website in a timely manner (daily) as required by participating governments (PGs) and the NSG POC.

Provide technical support in all areas of the NISS to the high-level delegates from the NSG participating government agencies on a daily basis.

Provide technical support during high-level Plenary meetings and Consultative Group (CG) meetings which occur three times a year.

Create and maintain accounts for NISS customers from 48 countries. There are currently over 400 accounts. This activity increases before and after meetings.

Create and maintain corpus of NISS project and system documentation and training materials for both international system users and for internal processes (e.g., POC-Administrator document management, system configuration, service level, change request tracking and management). 

Manage up-to-date documentation with change controls and approvals around documentation for both formal (NSG Approved) and informal (NPAC/locally approved) documents.

Provide status and updates regarding NISS activity to sponsor and management as required.

Troubleshoot website connection issues over the phone or email.

For NSG Plenary and bi-annual CG meetings: coordinate event setup using registration tool; assist hosting country and the NSG POC) with registration by providing reports on a biweekly and/or weekly basis; post information regarding the Plenary on the NISS website.

During NSG Plenary week: must be available before, during, and after meetings throughout the Plenary week; assist POC with posting documents on the website for immediate access in the business center set up for PGs to use; the POC needs immediate access to a NISS administrator during the meetings to ensure the timely availability of information; set up an information table at the Plenary for PGs to ask questions or request assistance with NISS matters; prepare a NISS report which is presented at the Plenary for NISS activity and progress of ongoing development.

Post NSG Plenary meetings: work closely with the POC to ensure all final documents are posted.

Maintain a dialog with the various NSG chairpersons to coordinate improvements needed on the NSG discussion forum to facilitate the work of the NSG Technical Experts Group (TEG).

Adhere to NSG policies and procedures as defined and directed by NPAC.

Work closely with developers to coordinate changes or fixes to the website.

Participate in the budget process and provide information to the Project Lead regarding budget needs and impacts for NISS.

Primary contact for ordering software, hardware, licenses, and all procurement for NISS; coordinate with Project Lead, administrators and procurement department.

Coordinating duties and coverage with the NISS Administrator at Los Alamos National Laboratory (LANL).

Perform other duties as assigned.





Job Requirements

  • Bachelor’s degree or an equivalent level of demonstrated proficiency in a field related to the scientific, communication, or technical aspects of the position.
  • Must be comfortable interfacing with and maintaining good relationships with our NNSA and State Department sponsors along with diplomats around the world.
  • Experience working with multiple customers and organizations simultaneously and within time constraints.
  • Demonstrated effective interpersonal skills necessary to interact with all levels of personnel and ability to work independently in a multi-disciplinary team environment.
  • Excellent communication skills and attention to detail are key factors at all levels (team, group, division, institution, sponsor, and international customers) and can be challenging due to language barriers.
  • Excellent writing and presentation skills.
  • Demonstrated ability to present and explain technical information to the non-technical audience.
  • Experience using and supporting web and mobile applications.
  • Demonstrated ability to resolve conflicting priorities and use independent judgement.
  • Demonstrated ability to work effectively with minimal guidance.
  • Work Schedule (hours) flexibility is required
  • Prior Public Relations experience is preferred.
