Job Description

  • Interface directly with the Department of Energy (DOE) Portsmouth/Paducah Project Office (PPPO) project managers and leads, as well as the Pro2Serve Program Director and leads to:
    • Compose, type, and edit correspondence;
    • Prepare, proofread and format complex reports, presentations, and contract/task order documents using standard software;
    • Track correspondence/document flow and maintaining the associated files in the DOE PPPO electronic system;
    • Copy correspondence or other printed matter; and
    • File records.
  • Capture and write meeting minutes.
  • Answer telephone and provide information to callers or route call to appropriate team member.
  • Place outgoing calls;
  • Routes incoming mail and faxes for employees and managers.Prepares outgoing mail.
  • Schedules appointments and meetings.
  • Arranges travel schedules and reservations as necessary.
  • Greets visitors, determines visitors’ needs and refers visitors to appropriate team member(s).
  • Maintains conference room schedules.
  • Acts as receptionist or backs up receptionist when needed.
  • Performs other duties as assigned by supervisor.


    Job Requirements

  • High school diploma or GED and five years previous administrative and general business experience.
  • Microsoft Office proficiency.
  • Able to write/review reports and correspondence using proper grammar.
  • Willingness and ability to communicate both verbally and in writing with senior personnel daily.
  • Ability to get along with coworkers, customers and visitors.
  • Ability to accept constructive criticism in the spirit of continuous improvement.
  • Hold as core values safety and quality.
  • Take ownership of and pride in your work products.
  • Have a professional appearance and attitude, including attendance and punctuality.

This position requires the ability to obtain a government L clearance. This position requires reviews and tests for absence of any illegal drugs along with a background investigation by the Federal government in order to obtain access authorization prior to employment.
