Job Description

Pro2Serve is seeking a talented and resourceful Project Coordinator I. The position will report directly to the Vice President and Division Manager of National Security Programs. This position will work closely with other offices of executives including the President and CEO and must provide a positive and helpful experience for all stakeholders. Ideal candidate will be a detail-oriented, experienced organizer, planner, and manager with the demonstrated ability to prioritize effectively while maintaining flexibility, composure and a good sense of humor. We require a high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company.

The day-to-day responsibilities for this position include project tracking and will require planning ahead, pragmatic prioritization of short and long-term concerns, and coordinating closely with project team leadership and other executives. The Vice President and Division Manager of the National Security Programs works closely with dozens of teams so attention to detail and the ability to manage competing priorities is key. The successful candidate will possess the skills to complete complex tasks and projects quickly with little guidance, react with appropriate urgency to situations which require a quick turnaround.

Key responsibilities include:
Drive team activities including staff meeting agendas, all-hands meetings, supply ordering, and cyclical events such as annual planning sessions and performance reviews
Manage conflicting scheduling and project priorities and provide visibility and advice on time management

Ability to hold project staff accountable in getting content for VP’s presentations, briefs, paper and reports
Track and help drive completion of key deliverables and follow up on outstanding items
Provide day-to-day support including Division and project reports, project tracking, and expense reporting

This position may create and edit PowerPoint presentations. Superb skills will be critical.

Serve as Division Liaison to Corporate Quality Program; manage Division Quality Management Systems

Serve as Division Liaison to Corporate Training Program; Manage Division training program

Serve as Division liaison to Corporate HR; support the execution of HR processes and actions within the Division.

Serve as Division liaison to Corporate Recruiting; support the sourcing and hiring of all Division staff
Coordinate international and domestic travel·
Build relationships with executive offices throughout the team and across the company

 

 

Job Requirements

5-10 years of experience assisting at the executive level in a fast-paced environment.

Experience conducting administrative management of programs and projects, including document management, budget / cost reporting and tracking
Superior proficiency with Microsoft Office; Outlook, PowerPoint, MS Project, and Excel.
Experience working within complex organizational structures

Experience with recruiting, staffing, new-hire onboarding, orientation, and performance reviews.

Excellent written skills and the ability to communicate technical information to different audiences with ease
Proactive, and very detail-oriented; creative approach to problem solving and planning
Strong history of personal and professional integrity and discretion

Experience managing training programs

Experience managing Quality Management Programs

Demonstrated ability to handle administrative details independently while exercising good judgment in keeping team members adequately informed

High school diploma required; BS/BA highly desirable

Federal Government Clearance:

This position may require the ability to obtain a government clearance. This position may require reviews and test for absence of any illegal drugs along with a background investigation by the Federal government in order to obtain an access authorization prior to employment, and may require subsequent reinvestigations may be required.
